Rootra – General Terms & Conditions
These Terms & Conditions apply to all Rootra services, including Rootra Yoga, Rootra Reset, and Rootra Therapy. They outline how our services operate and what you can expect when engaging with Rootra.
Bookings for Rootra services are managed via our online booking platform (Acuity Scheduling). By booking a service, attending a session, or engaging with Rootra, you confirm that you have read, understood, and agree to these Terms & Conditions.
Please note that Rootra Therapy is governed by a separate Therapy Contract, which includes information about confidentiality, safeguarding, and professional boundaries. Therapy does not begin until this contract has been reviewed and agreed.
1. About Rootra Services
Rootra offers a range of wellbeing services designed to support reflection, regulation, and resilience.
Rootra Yoga and Rootra Reset are non‑therapeutic wellbeing services focused on movement, relaxation, journaling, and community.
Rootra Therapy is a professional therapeutic service delivered by a qualified therapist and is governed by a separate Therapy Contract, including confidentiality, data protection, and professional boundaries.
Booking through Acuity confirms your agreement to these general Terms & Conditions. Clients booking Rootra Therapy will be required to review and agree to a separate Therapy Contract before therapy begins.
2. Booking & Payment
All sessions must be booked in advance via Acuity Scheduling.
Payment is required at the time of booking unless otherwise agreed.
Your booking is only confirmed once payment has been received.
3. Cancellations & Rescheduling
You may cancel or reschedule your session up to 48 hours before the scheduled start time.
Cancellations or reschedules made within 48 hours of the session may be charged in full.
If Rootra needs to cancel or reschedule a session, you will be offered a reschedule or full refund.
4. Attendance & Late Arrivals
Please arrive on time for your session.
Late arrival may result in a shortened session to respect other bookings.
Sessions cannot be extended beyond the scheduled time.
5. Health, Safety & Personal Responsibility
By booking a Rootra service, you confirm that:
You are responsible for your own physical and emotional wellbeing during sessions.
You will inform the facilitator/therapist of any relevant injuries, medical conditions, or needs prior to the session.
You participate at your own pace and within your own limits.
For Rootra Yoga and Rootra Reset, these services are not a substitute for medical or mental health treatment.
Rootra services are intended to support wellbeing, reflection, and personal growth. While many people find these services helpful, individual experiences and outcomes will vary.
Rootra does not guarantee specific results or outcomes from participation in any service, including Rootra Therapy, Rootra Yoga, or Rootra Reset.
Clients remain responsible for their own wellbeing, decisions, and actions during and outside of sessions. Rootra services are not a substitute for medical care, crisis support, or emergency mental health services.
6. Non‑Therapeutic Nature of Group Services
Rootra Yoga and Rootra Reset:
Are not psychotherapy or counselling.
Do not involve diagnosis, treatment plans, or clinical intervention.
May include relaxation, reflection, journaling, or group discussion, but personal sharing is always optional.
If at any point you feel you require therapeutic or clinical support, you are encouraged to seek appropriate professional help.
7. Therapy Services
Rootra Therapy is subject to a separate Therapy Contract which will be sent to you after booking.
Therapy cannot begin until the Therapy Contract has been reviewed and agreed.
Confidentiality, safeguarding, data protection, and professional standards are detailed in the Therapy Contract.
8. Community & Group Conduct
To help maintain a safe and respectful environment:
Clients are expected to treat others with respect and kindness.
Disruptive, unsafe, or inappropriate behaviour may result in removal from a session without refund.
Group spaces are shared environments; Rootra cannot guarantee confidentiality of anything shared by other participants.
9. Data Protection & Privacy
Your personal information is stored and processed in line with UK GDPR and data protection laws.
For therapy clients, additional information about data handling is provided in the Therapy Contract.
Rootra will never sell your personal data to third parties.
10. Changes to Services or Terms
Rootra reserves the right to:
Make reasonable changes to services, facilitators, schedules, or venues.
Update these Terms & Conditions as needed.
The most current version will always be available via the booking platform.
